Santa Stride ‘n’ Ride Terms & Conditions

Please read these Terms and Conditions so you know what to expect. Your safety is so important to us and with the covid government guidelines now in place we require you to be more vigilant when taking part in an event or challenge in aid of the hospice.

PRIVACY
St Elizabeth Hospice takes the protection of your information seriously.  The Charity is committed to ensuring that it complies with the eight principles of good practice within GPDR 2018. We only obtain personal information with your consent and will only use in a fair and lawful way to further the objects of the Charity.  We will always store your personal details securely. We’ll use them to provide you with the service that you have requested, and communicate with you in the way(s) that you have agreed to.  Your data may also be used for analysis purposes, to help us to provide the best service possible. We will only allow your information to be used by suppliers working on our behalf and we’ll only share it if required to do so by law.  You can find our full policy on our website – www.stelizabethhospice.org.uk

PHOTOGRAPHY AND VIDEO
We use photography and video to help promote the event and also to create memories for those who take part, this comes from a wide range of sources (including spectators) on a voluntary basis and is sometimes not arranged by St Elizabeth Hospice. If approached by a photographer or videographer we would ask that you participate in good spirits, however if you don’t wish to be filmed or photographed just let them know when approached. We do however reserve the right to use footage or images supplied to us where you might be included. This includes any photos that you share on social media using our event hashtags.

PARTICIPATION
By filling in the online form it is assumed that you have read this page and agreed to the conditions of participation by ticking the checkbox provided.

Pregnant women must consult their doctor (sharing full details of the event) before participating.
The virtual event has no minimum age restrictions however anyone taking part in the event that is aged 15 and under must participate alongside a paying adult and the minor will be the full responsibility of the adult.

DISCLAIMER
There are inherent risks in any physical activity and this event is no exception. As you would expect an endurance event carries a risk of personal harm, so you need to be aware of any risks to you personally and any conditions you may have that could be exacerbated by this activity and assume personal responsibility for your participation and actions during the event.

It is your responsibility to ensure that you are in a good physical condition and able to participate in this event and if you have any doubts, then we recommend that you seek qualified medical advice before doing so.

By participating in this event, you fully accept and agree that St Elizabeth Hospice and employees associated with this activity will not be held liable for any loss, damage or injury to you that may occur during or in connection with this activity.
We strongly advise against the consumption of alcohol whilst undertaking the virtual event.

When undertaking your virtual challenge social distancing and current government advice must be adhered to. This is to protect participants and the public as best as possible during the current COVID19 pandemic. Social distancing must also be adhered to within groups of participants/spectators. By signing up to the virtual event you are agreeing to comply with social distancing measures and current government advice and rules that are applicable from the 16th of December – 28th of December. It is your responsibility to make sure you are protecting yourself and others from the spread of COVID 19 whilst undertaking your challenge. Do you not take on the challenge if you have any COVID 19 symptoms.

The routes will be determined by you the participant. We advise that you undertake your challenge in open and quiet areas during the daytime to aid social distancing. We also encourage you to take on your challenge in a place that you are familiar with and notify an emergency contact of your plans. There will be no road closures in place or specific routes to follow. It is the participant’s responsibility to adhere to the Highway Code at all times. Furthermore there will be no medical provision, route stewards, signage or street lights in place for the event.

Places are non-transferable and non-refundable so if you are unable to participate for whatever reason you must inform us as soon as possible, so that we can remove your details from the event.

It is forbidden to sell or raffle a Santa Stride ‘n’ Ride place onto someone else.

St Elizabeth Hospice reserves the right to offer promotional codes, sales and competitions whilst the event is open for registration. There will be no partial refunds given.
Participants will receive a medal and it will be sent out after the event if there is no way that St Elizabeth Hospice can organise a collection point due to government guidelines

Should the governments advice regarding COVID 19 change from now (21st October 2020) until the event, St Elizabeth Hospice reserves the right to change, cancel or postpone the event at any time.

COVID Guarantee
By signing up to this challenge, we’d like to reassure you that if for any reason the event cannot take place on its original date due to COVID-19, we shall transfer you over to the rearranged date. If you cannot make the new date, we will refund your registration fee (excluding Eventbrite booking fee) if it is requested within 2 weeks of the new date being announced. After that time we won’t be able to process refunds. In the event that the challenge is cancelled and is not rearranged we shall offer you the option to donate your fee to the hospice or offer you a refund minus Eventbrite fees.
